Software for property and block managers
Demands go out per schedule, because the lease says so. In between there are works to consult on, contractors to instruct, certificates to chase, and an inbox that fills faster than it empties. The software covers some of that. Somebody holds the rest together by hand.
Where it usually goes wrong
Section 20 notices, observations, and one address list
Every leaseholder gets a notice, sent to the address held on file, and the file is where sub-lets go wrong. Replies come in by email, by post, and to whoever picked up the phone. What counts later is the trail, and the trail is a folder somebody kept.
Fixflo raises the job, Qube carries the cost
The repair gets raised in one place and the cost lands in another, so somebody matches them afterwards, job by job, block by block. Works order, invoice, schedule, budget line. Whether the two ends are wired together depends on what was set up, and often the wiring is a person with two tabs open.
Certificates arrive as attachments and expire quietly
Fire risk assessment, EICR, lift inspection, water hygiene. Each comes back as a PDF on an email, each runs to its own renewal date, and Dwellant will hold the document once somebody uploads it. Ask which blocks are covered today and the answer starts with a search of the inbox.
One block carries several schedules, each with its own percentages
Flats that pay into some costs and not others, a lift only half the building uses, a car park with its own list. The percentages come from the leases, and the leases were drafted by different solicitors, decades apart. Whatever holds them now, a spreadsheet tab or a field in MRI, one person understands it.
